Proof of Placement at NIH
For certain immigration statuses, the NIH requires that the contract employee provide proof that the contract employer has assigned him/her to the NIH, and that the placement does not violate the terms and conditions of the non-immigrant status under which the employee is authorized to work in the U.S. See the Summary of Requirements by Immigration Status for a full list of evidence needed.
If the immigration documents do not establish placement at the NIH, please provide proof that the contract employer intends for the contract employee to be placed at the NIH, e.g. a contract, an offer letter, or other documentation that contains the following information:
- Full legal name of the contract employee (as it appears on his or her passport)
- Current Immigration Status
- NIH Institute/Center where the contract employee is placed
- Contact information (e.g. name of employer, title, address, phone, fax, and email) of the authorized signer
If such a letter does not already exist, the contract employer will need to prepare a letter with the above information. For your convenience, we have provided a sample letter to assist in drafting the letter. Contract employees must submit an original copy of this letter at the time they report to DIS for clearance.
